Company specialized in the export of pharmaceutical finished products are looking to hire an executive secretary with exceptional administrative, clerical skills and pharmaceutical regulatory affairs background.

The candidate is expected to multi-task and work well under pressure in a fast-paced environment


Responsibilities:


1-Conduct any research and submit any report the manager requests.


2-Solve any problems the manager requests her to solve.


3-Manage phone calls, schedule meetings and handle reservations and travel arrangements.


4-Revising contracts and briefing to the manager based on the aim of each contract.


5-Has the ability to write reports in a professional way and translate easily from Arabic to English and vice versa to be able to convert the managers notes/drafts to professional business report.


6-Take part of responsibility in regulatory work of exporting finished pharmaceutical products by revising artworks, inserts and confirming that they are matching the approved ones, also prepare purchase order and invoice templates as per instructions of the manager.


7-Regular follow up with the export council for medical industries and communicating to the manager any updates or information received.


8-Organize and archive all the contracts, official documents, registration documents,….etc. as soft and hard copies. 



9-Handle and manage all administrative issues including paying bills (internet renewal, landline bills,….), following up the availability of stationary (A4 printing papers, letter heads, business cards,…..etc.) and arrange for requesting support for the maintenance of different devices (computers, laptops, printers) and internet or any IT problem.



Requirements:


• B.Sc. in science or business administration preferred.


• 2 years of experience in an executive support role.


• Preferred to have experience in pharmaceutical regulatory affairs.


• Methodical thinker with detailed research proficiencies.


• Thorough understanding of clerical and secretarial principles.


• Strong knowledge of databases and tracking systems.


• Fantastic organizational skills and detail-oriented.


• Ability to work under pressure and meet deadlines.


• Brilliant written and verbal communication skills.


• Proficient in Microsoft Office, and business communication software.
